Project-based buyers often encounter a common dilemma: strict local certification requirements, together with fixed construction deadlines. Any delay in documentation will hold up the whole project.
One of our clients, a regional project contractor, intended to purchase energy storage units for a local microgrid project. The core conflict was clear: formal local certification testing would take several weeks, but the client’s project acceptance deadline could not be postponed. The client considered two extreme options: rush production without full certification or delay the whole order.
During our communication, we sorted out feasible segmented arrangements. First, we confirmed the official certification test schedule and shared transparent timelines with the client. Second, we proposed split execution: start raw material preparation and semi-finished product processing in advance, reserve production capacity, and arrange formal assembly right after certification approval passes. Meanwhile, we provided official test application receipts for the client to submit to the project management party as interim supporting documents.
We also clarified risk boundaries in advance: if certification encounters unexpected adjustment standards, we will jointly evaluate alternative compliant models to avoid complete project stagnation.
This plan helped the client gain temporary approval from their project side. We successfully aligned production rhythm with certification progress, avoiding both blind mass production and unnecessary order postponement.
Lessons learned
- When clients fall into schedule conflicts, clear risk disclosure is as important as proposing solutions. Hiding potential delays will damage long-term trust.
- Flexible phased production arrangements can resolve many deadline conflicts, as long as all parties confirm responsibility and risk scope in advance.
- Suppliers should understand not only product standards, but also local engineering approval procedures of clients’ markets, to offer targeted actionable solutions.
